Meals on Wheels Manager - Temporary Only

POSITION OVERVIEW

The Lanakila Meals on Wheels Manager is responsible for overseeing the day-to-day operations and management of the Home Delivery Program’s meal and support services. The Manager ensures services are provided in an efficient, cost-effective, and timely manner. This includes managing personnel; supporting a safe work environment; ensuring quality standards; representing the program with partners, vendors, and the community; and maintaining department integrity and accountability through compliance with all contract requirements, industry best practices, policies, and procedures. The Manager supports the mission, vision, and values of the organization; demonstrates Lanakila Pacific’s values of teamwork, excellence, achievement, and motivation in all personal interactions; and exemplifies Lanakila’s STAR service standards.

 

ESSENTIAL DUTIES & RESPONSIBILITIES:

Program Oversight:

  • Provides technical and direct assistance to the program to ensure daily operations are completed accurately, safely, and with a high level of customer service. Analyzes operations and data for cost control and efficiency.
  • Develops program policies and procedures. Ensures compliance with all Lanakila Pacific’s program policies and procedures including all safety and food handling procedures. Ensures compliance with all federal, state and county laws, rules, and regulations. Develops long-term resolutions to service-related issues.
  • Ensures the program is compliant with all funder and contractual obligations. Ensures the program meets the deliverables expected by Lanakila Pacific and funders on time and within budget.
  • Oversees the program facilities and assets needed for program operations. Identifies additional resources or support needed and coordinates their procurement. Maintains a schedule for purchase, maintenance, and replacement of equipment, supplies, and vehicles.
  • Represents the Home Delivered Meals Program, the Lanakila Meals on Wheels Department, and Lanakila Pacific in communicating with funders, developing, and maintaining vendors and partnerships, and within the community. Seeks to increase business and support for the program.
  • Works with the Marketing Department to conduct an ongoing marketing plan to increase public awareness, developing private and public partnerships, and initiate resource development activities that increase community involvement with the program.
  • Supports the development and implementation of an effective volunteer program that includes communication, outreach, placement, training, evaluation of performance, and volunteer recognition and appreciation.
  • Coordinates and supervises all holiday meal deliveries and program special projects/events.
  • Oversees and manages program data. Implements measures and procedures to ensure data is accurate, timely, and complete from referral to termination.
  • Compiles and analyzes program data used for program operations, billing, planning, budgeting, proposals, advocacy, and identifies areas for improvement.
  • Assists with program grant proposals, budgeting, goal development and strategic planning.
  • Responsible for program supervision at all levels. Directs the day-to-day work of staff and volunteers. Responsible for interviewing, scheduling, training, evaluating, appropriately addressing complaints, documenting incidents, and disciplinary action.

 

Packing and Delivery Duties:

  • Responsible for the Packing Room and Delivery operations.
  • Produces meal projections weekly and as needed. Reconciles inventory and makes food orders.
  • Ensures meals and other items are accurately and timely packed according to food safety guidelines. Focusing on eliminating mistakes and rework, to provide efficient, on-time deliveries.
  • Plans, assigns, monitors, updates, and provides direct assistance to Shuttles, Open Routes, Welcome Visits, and redeliveries to meet customer demand, food safety guidelines, and driver capacity.
  • Analyzes operations, schedules and service times for cost control and efficiency.
  • Plans and manages service areas and routes. Controls route size, dictates number of volunteers needed/shifts, and operation’s schedule.

 

Other Duties:

  • Assists with developing the annual budget and ensures projects are delivered on time, within scope and within budget through regular monitoring of outcomes and expenditures, on assigned projects.
  • Reviews financial statements, reports, and statistical data to ensure accuracy and timely billing, payment, and reimbursement, as assigned.
  • Serves as a role model for the staff, participants, and volunteers and works to create a healthful and respectful environment.
  • Participates in the recruitment process and makes recommendations for hiring.
  • Ensures all safety procedures and practices are followed and enforced, and that safeguards and proper safety gear, such as gloves, are used when appropriate.
  • Demonstrates the ability to work with confidential information and comply with established policies, procedures, and practices.
  • Demonstrates a willingness to gain and possess thorough knowledge of Lanakila Pacific’s programs and seeks ongoing educational opportunities related to the position. Completes training as mandated by organizational policy.
  • Performs other related business duties as assigned, including but not limited to program promotion, representing the organization at events, and participating in fundraising activities.

MINIMUM QUALIFICATIONS:

Required:

  • Education: Bachelor’s degree from an accredited institution in Business, Public Administration, Social Work, or related field. A High School Diploma or Certificate of Completion or equivalent plus years of experience in a closely related field may qualify to be substituted on a year-to-year basis for the education requirement.
  • Experience: Two years of supervisory experience and two years of operational experience.
  • Clearance/Certification: 1) TB clearance, 2) Criminal background check, 3) Pre-employment drug testing, 4) Child Protective Services/Adult Protective check, 5) Valid driver’s license, clean driver’s abstract, and access to an insured vehicle.
  • CPR/First Aid Certification, Department of Health Food Handlers Safety (Obtain on the job)

 

Preferred:

  • Work Experience: One year of work experience in a human services program or direct customer service serving the elderly and/or disabled; one year of work experience in leading and managing volunteers; one year of food service experience.

WORKING CONDITIONS:

Schedule:

  • Scheduled for work 5 days a week Tuesday through Saturday, 6:30 am – 3:00 pm. Work days/shift may vary. May be required to work outside of normal business hours including weekends and Thanksgiving and Christmas holidays to meet operational needs and contract requirements.
  • Indoors, office setting, production areas including inside walk-in reefer/freezer.
  • Outdoors in various residential, in home, and community settings, travel to provide services, to see employees, distribute meals, outreach, etc., as required.
