Role Summary

The School Receptionist serves as the primary "voice and face" of Hanahau’oli School, acting as the first point of contact for students, parents, and visitors. This role is vital in maintaining the school's warm, welcoming atmosphere while ensuring high-level administrative efficiency and campus security. Reporting to the Director of Operations, the Receptionist manages front-desk operations, handles multi-line communications, and provides critical administrative support to various departments.

Since its founding in 1918, the school’s mission and beliefs have been grounded in progressive philosophy and teaching methods. Key Responsibilities
  • Front Desk & Visitor Management: Greet all visitors, parents, and students with a warm, professional demeanor; implement security protocols by requiring visitors to sign in and wear appropriate identification.
  • Communication Hub: Answer and route incoming phone calls and emails in an informed manner; manage the school’s general mailbox and distribute messages and key information to relevant people in a timely manner.
  • Student Support & Health Room: Assist with student check-ins/check-outs; serve as backup for the health room by administering basic first aid to ill or injured children.
  • Administrative Support: Manage school calendars, including the Head of School’s calendar, and room reservations. Maintain office equipment and order supplies; coordinate logistics for the school lunch program and arrange transportation for student learning trips.
  • Logistics & Deliveries: Receive and distribute miscellaneous materials (lunches, homework, supplies) and manage the school’s lost and found.
  • Emergency & Safety: Act as a critical link in school-wide communications during emergencies or unexpected situations, utilizing intercoms or public address systems as needed.
Required Skills
  • Technical Proficiency: Advanced knowledge of Student Information Systems (e.g., FACTS), Google Workspace, and cloud-based document management.
  • Multitasking & Prioritization: Ability to manage high-volume front-desk traffic, phone lines, and clerical tasks simultaneously without losing composure.
  • Interpersonal & Cultural Intelligence: Exceptional ability to build rapport with diverse populations and communicate with the sensitivity required in a progressive school setting.
  • Problem Solving & Resourcefulness: Quick-thinking ability to resolve scheduling conflicts or visitor concerns independently and diplomatically.
  • Confidentiality & Discretion: Proven track record of handling sensitive student and family information with the highest level of integrity.
Qualifications
  • Education: High school diploma or equivalent required; Bachelor’s degree preferred.
  • Experience: Minimum of 2 years of related experience in a front-office or administrative role, preferably within an educational or mission-driven nonprofit.
  • Certification: Current certification in Infant, Child, and Adult CPR and First Aid (or willingness to obtain via school-provided training).
Availability: Able to work full-time (typically 7:00 am to 4:00 pm) with occasional flexibility for evening or weekend school events.
