Program Support Specialist

Job Summary: The Program Support Specialist provides supportive and administrative services which systematically support the accomplishment of program deliverables to achieve overall accountability and completion. Program Support Specialist is a support position that requires responsibility and demonstrated competence. The Program Support Specialist provides administrative, data support, analytical, and facilities support to help programs function and meet the needs of the clients we serve

 

Job Responsibilities:

 

• Manage program data through client registration, data entry, filing, and

 

organizational support.

 

• Schedule and manage logistics for meetings and training, including managing

 

technology, taking, and distributing notes.

 

• Provide administrative support through invoicing, copies, document control,

 

distribution, and knowledge of supply inventories.

 

• Display excellent organization skills and maintain thorough and accurate records.

 

• Generate and compile data and update online tools or spreadsheets to complete

 

required weekly and monthly reports.

 

• Partner with compliance, grants management, and accounting to access, update,

 

and track required data elements for grants and reports.

 

• Follow all agency policies and procedures related to program activities and

 

support best practice standards.

 

• Identify opportunities to improve processes to deliver the highest quality

 

experience possible for program participants and follow through with these

 

improvements as assigned.

 

• Support the creation, update, and building of reports for individual programs.

 

• Support program staff and data administration staff with updating database

 

structure and building reports relevant to programs.

 

• Participate in professional development opportunities and in-service training.

 

• Perform other related duties as assigned

 

Required Qualifications:

 

• Proficient in all applications of Microsoft 365 suite and in the use of other

 

computer technology such HMIS, WITS.

 

• Organized and solution-oriented with the ability to coordinate many tasks in a

 

fast-paced environment.

 

• Excellent interpersonal skills, cooperative, friendly, proactive, and helpful attitude

 

with clients and co-workers of all ages and socio-economic backgrounds

 

• Associate degree or bachelor’s degree in a related industry or field (data science,

 

business administration, business management, etc.) preferred, but not required.

 

• Ability to complete a variety of daily, bi-weekly, and monthly documentation, as

 

well as data collection.

 

• Understand and maintain confidentiality of client information

 

• Perform general clerical duties including recordkeeping and filing.

 

• Excellent verbal and written communication skills.

 

• Ability to work independently and as a part of an interdisciplinary team.

 

• Ability to work with diverse populations.

 

• Must have reliable vehicle, relevant auto insurance and current registration, a

 

clean driving record, valid driver’s license and willing to drive vehicle for job

 

related tasks. All employees must submit a drivers abstract within 30 days of

 

hire

 

Team Participation:

 

• Participates in staff meetings and other group activities essential for operations

 

• Leads team discussions on data standards and progress to develop possible

 

solutions to ensure best support for the agency’s success.

 

• Promotes good community relations and utilizes community services and

 

resources.

 

• Attends scheduled training programs for professional development that includes,

 

at a minimum, trainings required by RYSE and by regulatory and accrediting

 

bodies.

 

• Performs other duties as assigned.

 

Educational Requirements:

 

• High School Diploma or GED

 

• Some college preferred

Compensation:
$50,000.00 to $60,000.00 / Year
