Administrative Assistant - Accounting

GENERAL SUMMARY: The Administrative Assistant primarily reports to the Accounting Manager and Director of Finance for Lava Lava Beach Club(s) Waikoloa and Kapa’a. The position will largely provide support for accounting functions, but will also have administrative tasks that support other leadership positions, such as the General Manager, Executive Chef, Directors and Principal Owners.

 

REQUIRED QUALIFICATIONS:

  • Contributes to building and maintaining a positive work culture at all times
  • Flexible and adaptable in a fast-paced work environment
  • Excellent written/verbal communication skills
  • Possess basic accounting skills/understanding of principles and/or the ability to learn them quickly
  • Has a keen attention to detail
  • Highly organized, adept at time-management and problem-solving skills
  • Proficient in MS Excel & QuickBooks (or the ability to learn quickly)

 

ESSENTIAL FUNCTIONS

  • Opening/sorting daily mail, filing, data entry and basic admin/acct skills
  • Productively and professionally communicate with all vendors/staff as needed
  • Perform account reconciliations
  • Assisting with weekly check runs
  • Providing accurate information for recordkeeping/reports
  • Working with accountant to review/submit bi-weekly payroll
  • Ensuring all budget and recordkeeping guidelines are complied with
  • Assist in safeguarding against loss through payroll, payments, inventory, etc.
  • Ensuring all daily/weekly/monthly accounting deadlines are met
  • Assisting leadership with other tasks/special projects
  • Assisting in all general accounting and administrative duties as assigned
  • Maintain office supplies inventory

  • MS Outlook, Excel, Word proficient
  • Familiar with QuickBooks and/or the ability to learn quickly
  • Basic accounting knowledge base
  • Ability to manage office equipment (copy machines, etc)

Compensation:
$22.00 to $25.00 / Hourly
