PURPOSE: The Economic Advancement Department programs provides opportunities for professional growth and support for women in transition.  Dress for Success Honolulu provides services and support for women to build confidence, seek employment, maintain employment, advance in their careers, develop professionally and to ultimately achieve financial independence.  The program includes a robust volunteer program, social enterpise program, and donation program.  The Bella Project gives young adults a boost of confidence by helping to lessen the financial burden on families and offer an opportunity to participate in formal high school events by providing formal wear free of charge.  ShopYWCA.com is a social enterprise program and educational platform focused on small business recovery and workforce development.  Fernhurst is a residential living facility for women located in Makiki providing housing and supportive services.  The program serves employed women making the transition from challenging circumstances to permanent housing and economic self-sufficiency.

 

JOB SUMMARY: Under the direction of the Program Manager and Director of Economic Advancement, the focus of the Program Coordinator will be to support all program functions to include but not limited to assistance in planning, coordinating, implementing and evaluating all programs. 

 

ESSENTIAL DUTIES/FUNCTIONS: 

  • Serve as main point of contact for program inquiries from clients, volunteers, donors and other key stakeholders.
  • Organize and ensure smooth implementation of daily program services.
  • Maintain scheduling system for clients.
  • Perform general office duties, including filing, recordkeeping, client services, answering phones, responding to inquiries.
  • Coordinate program services to include logistics for workshops, events, and acitivites.
  • Provide brick and mortar sale and ecommerce support functions such as cash handling, customer service, order fulfillment, marketing and advertising.
  • Promote program services with clients, prospective clients, referral partners and the general community through various training opportunities, marketing and outreach events.
  • Maintain database of all clients, donors and referral partners, to include data entry, extracting reports, analysis and reporting for internal and external purposes.
  • Perform administrative functions in support of Manager and Director
  • Generate and maintain contact lists.
  • Coordinate donation drives with external organizations.
  • Collect data related to donations, grants, program income, etc.
  • Write and edit various communiques including press releases, marketing copy, event
  • Provide general support for all program services.
  • Assist in establishing and implementing procedures for all program services.
  • Assist in recruiting, training, and managing volunteers.
  • Foster and maintain relationships with referral partner agencies to maximize public access to program services.
  • Provide direct services when volunteers are unavailable with training provided.
  • Develop program collateral such as flyers, brochures, newsletters.
  • Assist in preparing reports and/or evaluations.
  • Adhere to YWCA policies and consistently uphold established procedures and processes.
  • Other work as assigned to support the program.


Supervisory Responsibilities: This job has no supervisory responsibilities.  

 

Education:  Bachelor’s degree required.   

 

Experience: Strong preference for nonprofit social services experience and retail experience. Must have work experience in office environment and able to perform basic administrative functions such as answering phone and email inquiries, filing, copying, data entry.

 

Computer skills: Proficiency with Microsoft Office (Outlook, Excel, Word, PowerPoint, etc.)

Experience with data entry and data management preferred.

Preference for familiarity with digital communications, e.g. Constant Contact.

Experience with ecommerce, cash handling and point of sale systems preferred.

Preference for experience with social media platforms such as Instagram, Canva.

WORKING HOURS AND CONDITIONS: Work hours are Monday through Friday, 8:00am – 5:00pm or otherwise determined by the supervisor. Availability for periodic work outside of regular business hours, to include evenings and weekends required. Periodic travel to other locations for program events/activities requires. Work performed primarily in an air-conditioned, smoke-free office environment. Frequent visits and work performed in donation/retail storage that is open-air. Occasional exposure to outdoor weather conditions. The noise level in the work environment is moderate. Position requires daily loading, lifting, moving and transporting of program-related items. Must be able to lift 20 pounds.
